Clean Wisconsin is a nonprofit organization with offices in Madison and Milwaukee and a mission to combat climate change and pollution in our air, water & land. We are seeking a full-time Legal & Administrative Assistant who is highly organized and capable in a wide range of tasks. The “Assistant” is responsible for managing office operations and providing organizational and administrative support to senior staff and the legal department. The Assistant keeps the office running smoothly and supports an inclusive working environment. This position reports to the president CEO.

Responsibilities:
- Legal Department assistance (50%)
- Format and file documents with courts and other legal venues
- Manage confidentiality agreements, joint defense agreements, and other contracts
- Assist with and track discovery
- Research legal and other relevant questions
- Draft legal memos as directed by staff attorneys
- Maintain database of case documents
- Work with legal interns as appropriate
- Other assignments as needed
- Administrative support, as directed (40%)
- Assist with the hiring of new staff and interns
- Manage the onboarding of new staff, board members and interns including paperwork, orientation, benefits enrollment, and coordination with payroll and finance departments.
- Maintain employee personnel files, leave balances and benefits information
- Coordinate quarterly meetings and monthly committee meetings in collaboration with CEO, Board Chair, and Board Committee Chairs.
- Provide organizational and administrative support, including production, distribution, and organization of Board of Directors meeting materials and governance documents.
- File documents
- Assist with maintenance of internal financial documents
- Manage the offboarding process for staff and intern departures
- Manage employee benefits, including annual renewals and open enrollment
- Plan internal events, as needed
- Complete other assigned tasks around the office.
- Office operations (10%)
- Act as primary contact for office visitors, delivery people, etc.
- Manage incoming and outgoing mail and delivery
- Purchase and maintain necessary levels of office supplies and equipment
- Ensure office spaces are tidy and organized
- Act as liaison with landlord and building tenants
- Work with contractors to maintain office and IT equipment, including laptops, copier/printer, phone system, email accounts, etc.
- Work with IT contractors to maintain and update cybersecurity measures
Skills and Experience:
- Ability to perform in a multi-task environment and to prioritize work requirements among competing priorities
- Ability to interact effectively, appropriately, and compassionately with staff and colleagues Attention to detail
- Clear oral and written communication skills
- Excellent organizational skills
- Proficient in Microsoft office suite and internet research
- Bachelor’s degree or experience with similar work
- One to two years of experience in administrative support and/or office management experience is preferred; experience in legal settings a plus

Compensation:
Salary range for the position is $55,000-65,000, commensurate with skills and experience. Benefits package includes health and dental insurance, a 403(b) retirement plan with a 6% employer match, paid sick leave and vacation, life insurance and short- and long-term disability insurance.
